QUB Law Society Privacy Policy

Who we are

At the QUB Law Society (’the Society’), we are committed to supporting our members. In doing so, we wish to build and maintain a relationship of trust and confidence between the Committee and our members! As part of this, we want to assure you that will not share or sell your email or other personal information to other organisations or companies for marketing purposes. This Privacy Policy outlines what information we hold, why we hold it, how we use it and the limited circumstances under which we may disclose it to others.

Types of data we collect

Identifiable information

We are obliged by QUBSU to hold you name, student numbers and QUB email addresses on file throughout your membership. This data will all be kept in an encrypted document that will not be accessible to any individual outside of the committee, except specific nominated individuals during the two weeks freshers period.

If you go on any offsite trips with the Society, we will have to collect contact numbers for you and an emergency contact not on the trip. This is to fulfil our duty of care to you as members and to be compliant with QUBSU offsite travel regulations.

Google Analytics

When someone visits qublawsoc.org we use Google Analytics to collect some basic information and details of visitor behaviour patterns. We use this information to work out what you want to see on our website. This information is processed anonymously. We do not make, and will not allow Google to make, any attempt to identify visitors of our site.

Mailing lists

As a member of the Society, you are added to a mailing list for our monthly e-newsletter – the Society Circular. We use that information to keep you up to date with our upcoming opportunities and provide you with additional information. We will not rent or trade this email list with other organisations and businesses, though we may from time to time send you emails on behalf of other business that sponsor us, however they will not be provided with any of your personal information.

We use a third-party provider, MailChimp, to deliver our newsletter. We gather statistics around email opening and clicks using industry standard technologies to help us monitor and improve our e-newsletter. For more information, please see MailChimp’s privacy notice. You can unsubscribe to general mailings at any time of the day or night by clicking the unsubscribe link at the bottom of any of our emails.

QUBSU

We are obliged to share our records with QUBSU in order to validate your membership. They hold this information securely in an encrypted file. Access to your personal information

You are entitled to view and amend the personal information we hold. Please email your request to our secretary, Rory Morris, at secretary@qublawsoc.org

Data retention

Any data collected for specific events will only be retained for the duration of the event and will be destroyed on its completion. We will only retain your student number for as long as you remain a member of the Society (to comply with QUBSU regulations). We will hold your name and email until you withdraw your consent. We will use this to keep in touch with graduates, updating them on the work of the Society.

This Privacy Policy was last reviewed on the 20/05/2018 and will be due for review in May 2019.
